Privacy notice
Draft, not yet in force. This text describes how Send Dubs works today. It still needs the operator's legal details and a legal review before launch.
Who we are

Our role
We run your account, the website and its security. When a label or artist sends you promos, they decide who gets them and why, and we send them on their behalf. The sender is named in every promo email.
What we use
- Account details: name, email, password (stored only as a one-way hash), passkeys, sign-in with Google or Apple if you use it, the workspaces you belong to and your role.
- Music and details you upload: audio, artwork, titles, release dates, and the tempo, key and loudness we measure.
- Contact lists that labels add, with the record of how each person agreed to receive promos, including requests DJs make on share links.
- Promo activity: when an email was sent and whether it was delivered or bounced; when you opened your private link; each listening session (which tune, when, how long); downloads; and your rating, best-tune pick and comments. No email tracking pixels are used.
- Payments: handled by Stripe. We keep the plan, status and invoices, never card details.
- Security records: for each sign-up, sign-in and wrong password, your IP address, the country Cloudflare gives for it and your browser, kept 90 days; server logs, with private links removed.
- Uploader agreement: when you sign it, your typed name, email, workspace, the date, the version and the network address you signed from, kept as evidence while the workspace exists.
- Private link security: the devices you confirm for a promo link (browser name and network to the nearest block, not your exact address), codes sent, and opens on unconfirmed devices. The sender sees this to protect unreleased music.
- Watermarks: tunes you play or download are your own copy, carrying a hidden mark linked to your link, which helps trace a leaked file back to the copy it came from.
- Takedowns: if someone reports your music, we may share the notice, including their contact details, with the workspace; if you send a counter-notice, we share it with the person who complained.
What senders see
A sender sees, for their own promos only: whether the email was delivered, when you opened your link, your listening sessions, downloads and your feedback. Other labels can't see their lists or your activity. Your comment is only quoted publicly if you tick the box that allows it.
Your choices
Every promo email has an unsubscribe link that works without an account. You can stop one sender or every sender on Send Dubs. We keep a minimal fingerprint of your address (not the address itself) so you aren't added back by mistake.
Your rights
You can download your data and delete your account from Settings. You can also ask us for access, correction, deletion, restriction or a copy of your information, or object to how we use it, at [contact email to be confirmed]. You can complain to the UK Information Commissioner's Office at ico.org.uk.
How long we keep things
- Promo audio: until DJ access ends (14 days after release, at most 90 days after upload), then a 7-day window for the owner, then it is deleted, with every DJ's personal copy.
- Email delivery records: 90 days.
- Unsubscribe fingerprints: as long as needed to respect your choice.
- Accounts: until you delete them.
